Pinc Group were engaged by SCEE to provide structure, an eDMS (electronic document management system) functional specification and procedures and process to manage both the corporate and project documents. This included eDMS reviews (10 solutions reviewed) and the structuring of the data along with the configuration of SharePoint for SCEE’s uncontrolled data management.

Pinc Group created an over arching company structure that allowed all documents created across the group to be named and numbered in-line with their ownership and responsibility. This involved SCEE’s corporate data (including HR, Finance, Commercial etc.), operational data (for their service division who deliver ongoing operational support) and project data.

The project data included design, vendor and construction data and needed to manage the MDR compilation and handover in order to ensure timely project closure. Handover of documentation and archive of company data (with specific focus on projects) was included in the scope and delivered across the organisation.

Pinc Group also configured, implemented and rolled out SharePoint to provice SCEE with a short term Document Management solution while the eDMS implementation was negotiated and delivered. Sharepoint was then to be used as portal access to the procedural and key business documents.

A wide variety of eDMS’s were reviewed as part of the engagement, with a recommendation of two systems put forward. Given the requirement from the various business groups and departments across the organisation, it was important to ensure a robust system that would work at the contractor level was delivered. With the projects requirements added in to the mix, this meant the agreed system would also need to have a low bandwidth footprint as SCEE are regularly on site prior to power delivery (as this is there scope) and as such 3G can be the order of the day for document delivery on remote sites.
